Minutes of the Committee Meeting held on Wednesday, 13th January 2010 in the Institute Supper Room at 9.30am

1. Minutes of the December 2009 Meeting

moved Mike Hasler, seconded David Haines that the minutes be received.
Tony Finnis requested that the reference to him in Item 3.4 of the Minutes regarding investigation of Community Services, DCMB be removed

2. Business Arising From the December Minutes

2.1 Tour Down Under Matters:

Rick advised that at Saturday’s meeting held at the Wendy’s house it was agreed that:
Wendy be captain of Decorations with assistance from Margaret
Mike Hasler to be captain of the BBQ/Sausage Sizzle:
to purchase 500 sausages from Noske;
those involved in Sausage Sizzle to meet at 8am on Wednesday, 20 January;
Mike to prepare and distribute roster for Sausage Sizzle;
David Haines to check that all items needed for Sausage Sizzle would be on hand, eg disposable gloves, cooking utensils, serviettes, table cloths, etc;
Pauline Fowles to provide notices promoting Sausage Sizzle.

Tuesday 19 January:

  • 2pm: Wendy, Margaret and Ann Haines to meeting in Institute kitchen to cut and bag the sausages;

  • 4pm: “Balloon Blowing” with compressors organised in John Wittwer’s garage (115 Main Street) and the Institute – lots of volunteers have been contacted and have kindly agreed to help;

  • 5pm: Decorations to be put up at Ambleside Road, rosettes on Trees in Main Street Freeway end, The Institute, Alec Johnson Park area and Main Street Mount Barker end.

Wednesday 20 January:

  • 6:45am: Williams and John and Stephanie Wittwer to hang up balloons with decorations at Ambleside end of Main Street. John and Margaret Brook and helpers to hang up balloons at Institute and Alec Johnson Park (BBQ area)

  • 10:30am: Rostered volunteers to be in attendance at Sausage Sizzle as per roster.

2.2 Pioneer Memorial Park – Toilet Sub-Committee Report:

Eric advised that he had spoken to Steve Watson at DCMB who will have a meeting with the Sub-Committee at the end of the month to explain how the Council proposes to upgrade the toilets. Hopefully the upgrade will be completed by the end of the financial year.

2.2 Bus Shelter outside Institute to be moved:

Jim Fowles had spoken to Brian Clancy, DCMB and filled out a form regarding the bus shelter being moved near to the bus stop.
Norm Key has inspected this and will follow it up.

2.3 Street Trees:

Jim Fowles spoke to Norm Key and arranged to have mulch put on the newly planted trees in front of the IGA.
Russell Grivell has requested information regarding replacement trees in front of Bank SA.

2.4 Clean Up Australia Day – 7 March 2010:

David Haines said that he and Ann would again be involved.
Wendy advised that she had registered with Clean Up Australia and they are forwarding the complete kit to her in time for 7 March.

4.1 Letter to John Buchan thanking him for the models created as suggestions for the Pioneer Women’s Memorial.

5. Reports

5.1 President’s Report:

The President, Rick Harcourt, advised that he would make himself known to the Council in order to establish a good rapport with staff.

5.2 Treasurer’s Report:

Eric presented HCA accounts as at January 2010:
HCA Total Funds $5,402.97 (*includes Pioneer Women’s Marker A/C)
Recent payments made to:

  • Aspera Images (paper for Village Voice)

  • Phil Houston (expenses)

  • Business Machines (copying etc)

Eric advised that HCA Insurance is due 16.01.10 with 14 days grace and that he had discussion with the insurance company regarding:

  • A -Public Liability: $578

  • B - Association Officials Liability: $352

  • C - Volunteer Workers Cover: $364

Moved Eric A, seconded David Haines that payment for insurance be made to cover Items A. and C. and that Item B. be omitted.

6. General Business

6.1 On-going Projects to be considered and prioritised:

Rick asked that each member email or fax ideas regarding projects they consider could maintain, improve and enhance community life and facilities within Hahndorf.
All Committee Members.

6.2 Bushfire Information Night:

The HBTA has organised an information night to be held on Wednesday, 3 February at 7:30pm at the CFS Fire Station and sought HCA’s assistance in distributing the notice to all Hahndorf residences.
It was agreed that David H would check the date of the notice going out for the Lions Bottle Drive to see if it would coincide.
As an alternative HCA could possibly deliver as per the Village Voice distribution list.
Rick would also check with John at the PO regarding distribution.

6.3 Monitoring of Public Toilets:

Sarenah advised that the HBTA has requested Council to specifically monitor the cleaning of the Hahndorf public toilets throughout the TDU event.
With regard to the butting off of the verandah on the Pioneer Park Toilets, Tony Finnis mentioned that he personally felt it was unnecessary to replace the verandah.
